CONDADO DE ALHAMA GOLF SOCIETY
 (Updated September 2018)
CONSTITUTION RULES
Name
The society shall be known as the Condado de Alhama Golf Society (CDAGS)
Aims
The aims of the society are to provide discounted golf and competition and also arrange partners where necessary for its members. Also to provide social activities and other events which the committee deem appropriate for the well being of the society.
Funds
Funds raised will be used to cover the costs of the society’s administration requirements and society related expenses (trophies, prizes etc.). The society will be run as a non-profit making organisation.
Governing body
The society shall be governed by a general committee of officers. The captain, vice-captain and honorary president will be elected by the general committee, whilst the secretary, handicap secretary, competition secretary, treasurer, membership secretary and social secretary shall be elected annually by the members of the society at the annual general meeting (AGM). (It was agreed at the 2017 that an amendment be made to the constitution to read: Committee may co-opt any member to committee position.). A quorum of a minimum of 3 officials shall be required at each committee meeting. A committee member can hold more than one position if so elected.
AGM
The annual general meeting of the society shall be held on the last Tuesday in March to coincide with the new membership year. (So the captaincy changes 1st April, and any new committee members take up their post with immediate effect). The committee shall give notice of the meeting 28 days in advance on master scoreboard. Locally a notice will be posted on the society noticeboard at Condado de Alhama.
An extraordinary general meeting (EGM) can be called with a request from a minimum of 10 members, 4 weeks notice will be required.
Resolutions and voting
Members may propose resolutions for debate at the AGM which must be given in writing to the secretary at least 14 days before the date of the meeting. All resolutions must be proposed and seconded by existing members. Where a resolution is put to ballot by the members a simple majority shall decide the outcome. In the event of a tie the chairperson of the meeting, usually the society captain (or in their absence the vice-captain) shall have the casting vote.
Duties of officers
Captain
Will act as chairperson of the society and in addition carry out all the duties that are defined as appropriate for the captain of a golf society. They will have the casting vote on all ballots in the event of a tie. The captain will assume the role for a period of one year and will select their vice-captain subject to ratification by the committee.
Vice captain
Will act as vice chairperson of the society and will assist the captain. Will also deputise for the captain when necessary assuming the captain’s responsibilities. The vice-captain will be elevated captain at the end of their one year tenure of the role unless exceptional circumstances exist.
Treasurer
Will maintain a record of the society’s financial position and present regular reports of this to the committee. The treasurer will also be responsible for producing a statement of the financial affairs to the AGM. Accounts to be posted 7 days in advance of the AGM on the society noticeboard.
Secretary
Will maintain copies of the society’s affairs including minutes of all meetings.
Handicap secretary
Will be expected to maintain an up to date handicap listing of all members. Also to adjust handicaps upwards or downwards as a consequence of competition play. In accordance with EGA handicapping rules.
Social secretary
With the assistance of members (when necessary) will be responsible for organising, managing and implementing the social calendar of the society.
Honorary president
This role will be filled by the outgoing captain (except in exceptional circumstances). The president will sit on the general committee and vote on all matters.Also there is a position of honorary life vice-president.
Competitions secretary
To arrange fixture list and competition formats. Post the starting sheet, competition rules and results on the society notice board. Also can arrange away days and inter club competitions.
Membership secretary
To produce and distribute membership cards, produce and maintain the society membership list, collect membership fees from new and renewing members and transfer the membership fees to the treasurer.
Capacity of officers
The captain, vice-captain and president shall serve for one year unless circumstances dictate otherwise. The general committee (at present the officers of the society only) will discuss and put into place any changes if necessary.
Other officers can serve as many terms as they wish. Officers must offer themselves for re-election at each AGM. Nominees must be proposed and seconded by members in writing to the secretary 14 days before the AGM. New committee members will take up their role immediately after the AGM.
Life members
The society may from time to time elect life members. The incumbent captain will automatically become a life member. Others may be proposed and seconded by members at the AGM. A life member will not pay the annual membership charge but will pay weekly competition fees.
Annual membership
This will be set at each AGM on a proposal from the treasurer although any member can propose an amendment provide it is seconded by another member. The initial fee will be 20€ for new members and 5€ for previous members. Membership runs from April 1st to March 31st each year. This must be paid before a player can benefit from society rates and enter competitions. Committee members will receive free membership for the year they are on the committee.
Competitions
Players must have played before in a formal CDAGS stableford or strokeplay event to qualify for a competition, or bring a current handicap certificate from their home club. Players without proof of handicap can play on society times if they have paid the annual membership fee but not enter the competition. To get a handicap they must submit 3 cards to the handicap secretary (marked by another member ). Juniors up to the age of 18 years will not be required to pay the membership fee.
Individual major competitions (captain’s prize etc.) will require the player to have played in at least one formal individual strokeplay or stableford competition in the previous 12 months (handicap certificate not sufficient).
New members and inactive renewing members with CONGU handicaps will have their handicap converted to an EGA one when joining.
Formal competitions take place on Mondays, Wednesdays and Fridays unless otherwise indicated.
Membership will be restricted by fulfilling the following criteria.

MEMBERSHIP RENEWAL

 

At renewal, any member who has played a minimum of 5 Handicap Qualifying competitions with the Society in the previous year (April – April) will have their handicap maintained by the society. Any member who has not played a minimum of 5 Handicap Qualifiers with the society must provide proof of current Handicap from their home club. (You have an obligation to report any such changes in handicap to the Handicap secretary). Any  Member who’s home club is Condado will have their handicap maintained by the Society (with the proviso that they have played a minimum of 5 Handicap qualifying competitions within the past years membership.)

Members who cannot meet any of the above criteria may be awarded a Society handicap on submission of 3 cards (completed by the member and witnessed and countersigned by a fellow fully paid up member of the society).

Only members with a valid handicap may play in Society competitions. If no handicap is supplied the player’s handicap will be set to zero until proof is given. Visitors cannot play in Society competitions (See Guest / Visitors sections)

            NEW MEMBERSHIP APPLICATIONS

            New Membership of the Society will be restricted to owners of property on Condado de Alhama and their immediate family. (See definition below)

            For Persons and their immediate family who rent property on Condado de Alhama. A Proof of rental Agreement (minimum of three months) will be required.

            Persons who have GNK course memberships and who do not reside on Condado de Alhama cannot obtain Society membership.

            GUESTS

 

            A guest is defined as:

            a. An extended family member, or a friend of a member and is staying on Condado de Alhama.

            b. An extended family member or a friend of a member who has a rental agreement (minimum three months) and is staying on Condado de Alhama.

            Guests cannot participate in Society competitions, but may play with members in Society allocated tee times.(Space permitting)

            Guests will only be added to the start sheet if there are tee times available at the closing time for competition entry.(See Above)

            Immediate family are defined as spouse/partner, son, daughter, brother, sister, parents and grandparents.

  • Please be aware that proof of an active handicap is required when joining or renewing membership with the society. If no proof of handicap can be shown then the member will not be eligible to win a major competition until three cards have been returned.
